SIGN Butler: Simplifying Dynamic Multi-Signing

At Reditus, our mission is to deliver solutions that adapt to our clients’ specific needs. We believe every organization need tools tailored to their unique processes, without unnecessary complexity.

That’s why we’re spotlighting this particular challenge. When a contract in Salesforce needs signatures from multiple parties, a lot can go wrong, and until recently, there wasn’t a good way to fix that. You’re probably already familiar with this: the wrong version getting signed, missing signatures creating compliance risk, or contracts stuck in manual back-and-forth between sales reps, signers, and legal. These are real, costly problems. What used to require significant manual coordination, was error-prone, and often relied on heavy custom development, can now be handled through smart configuration.

Today, with SIGN Butler, part of the PDF Butler suite, configured using Salesforce Flow, that same process runs on its own, without the manual work it used to take.

What Is SIGN Butler?

SIGN Butler is a digital signing solution designed to simplify and automate document workflows. It enables dynamic multi-signing by allowing users to send documents to multiple signers, fillers, or receivers. Whether you need to route documents for approval, collect signatures, or notify stakeholders, SIGN Butler adapts to any use case. That matters because not every contract works the same way: some need three signatures, others just one, and some need manager approval before anything gets signed.

Why This Approach

This configuration-first approach allows organizations to:

  • Simplify multi-signature flows
  • Adapt to unique signing requirements without heavy development
  • Keep the user experience clean and intuitive

Combined with Salesforce Flow, teams can reuse this setup across similar contract scenarios without much extra maintenance, so it’s easy to adapt as processes change.

This reflects how we approach every engagement: we start by maximizing what’s possible with out-of-the-box Salesforce configuration, then turn to trusted AppExchange tools like SIGN Butler, and only move to custom development when it’s necessary. That way, we don’t build more custom code than we actually need, and everything stays inside the Salesforce platform our clients already use every day.

How We Built a Flexible Multi-Signing Flow

To show what SIGN Butler can do, we built a configurable solution in Salesforce. Below is a step-by-step overview of how we approached it: starting with standard Salesforce capabilities, adding AppExchange tools where they fit, and building custom code only when nothing else covered the need.

In this video, you’ll see how we set up the dynamic multiple-signing functionality.

Creating the Quote Contact Junction Object

We introduced a custom object: Quote Contact, which links individual contacts to a specific quote. Each record captures:

  • Contact name and email
  • Role (Filler / Signer / Receiver)
  • Signing order

This ensures that all participants are defined clearly, and the document can be routed accordingly.

Guided Selection via Screen Flow

End users manage signers through a guided Salesforce screen flow, which:

  • Retrieves contacts related to the Quote (e.g., Sales Rep, Account Contacts)
  • Allows the user to assign each contact a role (Filler, Signer, Receiver)
  • Defines signing order where relevant
  • Validates inputs to prevent common errors (e.g., no signers assigned, duplicate roles)

This gives users to configure complex flows without developer support.

Automating the Data Management

Once the user confirms selections:

  • All existing Quote Contacts for the Quote are deleted to ensure data integrity
  • New Quote Contact records are created with the selected roles and order
Flow logic handles data preparation for SIGN Butler

Routing the Document via SIGN Butler

With everything in place, the document is sent through SIGN Butler. The system:

  • Delivers the document to Fillers first to complete any required fields
  • Then routes to Signers, based on the specified order
  • Finally, sends a signed copy to Receivers

SIGN Butler uses a Word template with placeholders that automatically fill in the right name, role, and signature for each signer.

Voilà! You now have a flexible, dynamic multiple-signing process directly in Salesforce.

Is This Solution Right for You?

If you’re:

  1. Struggling with manual, complex signing processes

  3. Looking to simplify your workflows without reinventing the wheel

Let’s talk. In just a short call, we can explore how this kind of solution can fit your team’s needs and whether SIGN Butler (or another Salesforce-native tool) is the right fit.

This multi-signing setup is just one example of how we help clients unlock the full power of Salesforce and its ecosystem. If you’re dealing with document or contract management challenges, whether it’s the risk of the wrong version getting signed, missing signatures, or a process that simply doesn’t scale, get in touch with us. We’ll look into solutions within Salesforce and its ecosystem, tailored to your specific process, just like we did here.

Why Choose Reditus?

We have been a partner of PDF Butler for over 5 years, configuring and implementing their solution suite, including the SIGN Butler multi-signing functionality.

SIGN Butler is fully embedded in the Salesforce ecosystem, built on native tools like Flows and custom objects. This fits exactly how we like to work: starting with what Salesforce already offers, leveraging trusted AppExchange tools like SIGN Butler where they fit, and building custom solutions only when nothing else meets the need.
